Guild Meeting

January 23, 2003

6:30 pm

President’s Letter

Dear CPQG Member,

Time has literally flown by these last two years. I am thrilled and amazed every day how much you as a group of talented and unselfish people have grown together. It has been an honor and pleasure to be allowed to represent all of you and the organization. I know you will give the new board the same dedication, time, and personal care that you gave me. I want to apologize for not being able to be there for the January Guild meeting, but I will be in Dallas for some lab work. Thank all of you that have helped me during this time and I will see you soon.

Huey Nobles

Speaker: Officer Crawford

Executive Board Meeting of the Cotton Patch Quilt Guild

The combined (2002 and 2003) Executive Board meeting of the Cotton Patch Quilt Guild met at Cracker Barrel Restaurant, Greenville, Texas, at 6:00 p.m., January 6, 2003. Incoming president, Katharine McCaw presided at the meeting. Board members present were Carolyn Burt (2003), Connie Cawthon (2002, 2003), Sue Childers (2003), Tracy Greenlee (2003), Pam Hodapp (2002, 2003), McCaw (2002, 2003), and Pebble Rehm (2002, 2003). Concerns for President Huey Nobles were expressed by the group. Nobles is meeting the challenge of vision problems at the present time. The following items were included in the business agenda. Annual reports from the 2002 Executive Board were presented and will be filed as a part of the Guild’s records.

Officers’ responsibilities and duties were reviewed by McCaw.  An ad hoc committee of three will be appointed to audit the books by January 31, 2003. Quarterly Board meetings will be held preceding the Newsletter deadline in April, July, October, and January (combined). A survey form will be included with the Directory information form to be filled out when dues are paid. It was recommended to seek paid advertising to offset the price of the Directory. Dues are payable now. After February 28, 2003, those who have not paid dues will have their names removed from the roster and will receive no newsletter or Directory. Dues are $24 and your check should be sent to Pam Hodapp or brought to the January or February meeting. By-laws have not been updated in five years. An ad hoc committee will be appointed to make revisions which will be submitted for approval at the April meeting. A Sunshine Committee will be appointed. Guidelines recommended by the Board: to send a fat quarter basket to a member when there is a death in the immediate family; a fat quarter basket to a member who has a serious illness or has surgery requiring hospitalization; and a card to a member when there is a serious illness in the member’s family. A Community Service/ Door Prize Committee will be appointed to solicit door prizes, preside at the monthly drawing of door prizes, coordinate community service projects, and coordinate fundraising activities to support these projects. Previously this duty fell under the umbrella of Corresponding /Membership Secretary. The Board also agreed to purchase batting for the community service quilts and sources are being explored from whence to purchase. It was decided that the Design Committee does need to function this year even though there is a donation quilt ready for 2004. It was recommended that the Newsletter be mailed directly to a member’s e-mail address. Currently a member has to access the Guild’s website and provide a password to access the Newsletter. This decision was recommended to encourage more members to receive the Newsletter via e-mail in order to cut the high cost of postal mail. It was determined that the Newsletter be e-mailed to the contact person of those guilds that are geographically situated to the location of the Greenville area. Burt, incoming secretary was directed to send to Alliance Bank the 2003 roster of officers. Rehm, vice-president/programs reported that the programs for January through June have been confirmed. The time frame for meetings in 2003 is: 5:30-6:30, social hour; 6:30, eat; 7:00, meeting promptly begins; meetings adjourn at 9:00. Hostesses should make every effort to have food at the church before 6:30 or arrange for someone to deliver it by that time. The 2003 Budget has one item from the 2002 Budget deleted and two new items added. The item deleted is Workshops and the items added are Directory/Ads and Garage Sale/Silent Auction. Other business on the agenda pertinent to the new slate of officers included the location of organizational documents, the 501C-3 documents, the location of the post office box key, and the direction or flow of information between the officers in order to meet deadlines and conduct business of the Guild. Pam Hodapp volunteered to pick up the mail from the post office this year.

The meeting was adjourned by incoming president, McCaw.

COTTON PATCH QUILT GUILD

Regular Meeting, December 19, 2002 Kavanaugh United Methodist Church, 6:30 pm

There was a full house ( no sign-up sheet so no exact count ), including two guests, for the Christmas meeting of the Cotton Patch Quilt Guild at Kavanaugh United Methodist Church on December 19, 2002. The Fellowship Hall was brightly decorated with all the UFO challenges that had been completed in response to Alice Cooney's project. The Christmas tree was piled high with packages for our gift exchange, and the food tables couldn't have accommodated even one more dish! It was a wonderful evening full of surprise, laughter and fellowship.

Barbie Weaver, a board member of the American Cotton Museum and former guild member, has contacted us to see if we will participate in a project to rotate a different quilt each month at the museum. Anyone interested should call Adrien Witkofsky at the museum, 450-4502. Jane Martyn, chair of the nominating committee, presented a proposed slate of officers for 2003. Approval was unanimous, on the condition that Pebble remain Program Chairman for the next ten years! Those serving will be: President - Katharine McCaw; Vice Pres. of Programs - Pebble Rehm; Recording Secretary - Carolyn Burt; Corresponding Membership Secretary - Pam Hodapp; Librarian - Sue Childers; Treasurer - Connie Cawthon; Newsletter Editor - Tracy Greenlee. Installation will take place at the January meeting. The positions of Historian and Quilt Committee Chairman will be filled in January.

Treasurer Connie Cawthon reported a balance of $1679.16. According to annual reports, all officers came in under budget for this year. Dues for 2003, $24.00, are now payable. All members should plan to renew at the January meeting, or mail a check to Pam Hodapp prior to February 1. Those who do not renew before February 28th will be dropped from the roster and will no longer receive the monthly newsletter.

Pebble distributed a Make-and-Take snowman ornament kit to everyone and explained how to assemble it. She also offered to provide any monthly coloring sheets to those who request them. There are still openings in the Feb. 22 and Mar. 22 Machine Maintenance workshops with Jack Sheets. Fee is $20.00 Contact Pebble to register.

The Cotton Belles will begin holding their monthly meetings in the small dining room of Kavanaugh Church at 10:00 on first Mondays. Anyone wishing to be part of a day circle that meets in Greenville is invited to visit and join. For more information contact Sherry Worley.

It was obvious that Alice Cooney had labored long and hard over the cleverly worded awards that she presented to all those who displayed their glorious UFOs. But don't relax ! Be assured that Alice has a new challenge coming up! We'll just have to wait and see what it is.

Year -end reports are due next month from all officers and committee chairmen. Please submit one copy for the incoming officer/committee chairman and one copy for the Recording Secretary's record.
Next month we will be visited by the Quilt Police. I didn't do it !!

Door prizes were won by Nora Whitehead, Jane Asberry's daughter, Allen Day, Gladys Trammel, Katharine McCaw, Maxine Leverett, Jane Martyn and Doris McManus.
Respectfully,
Katharine McCaw, Recording Secretary

The F.I.S.H. Food Pantry is in desperate need of canned goods. They would also appreciate monetary donations. Please help if you can. Thank you.

FRIENDSHIP CIRCLES

Cotton Belles

The Cotton Belles Quilt Circle met at the Kavanaugh Methodist Church on Monday, January 6, in the small dining room. Future meetings will be held there. Visitors are most welcome. Our meetings are 10:00 am to 2:00 pm. Bring something to work on, handwork or machine.

We voted to donate a tulip quilt, which is now being quilted, to Kavanaugh in appreciation for using their room to meet.

A collection was taken up for a donation to FISH.

Next meeting will be on Monday, February 3. Bring your own lunch. Nora will bring dessert. Bring something for show and tell.

Cotton Blossoms

The Cotton Blossoms met for the first meeting of the new year on January 6th. There were 9 members present. It was really good to see everybody again. We made plans for the year and caught up on all the news since we met last. We have some interesting programs planned for the coming months. We are planning to make our challenge quilts for Ronald McDonald again as well as other children's projects. Our circle will continue to meet on the 1st and 3rd Monday of each month at the Presbyterian Church on Monroe St. in Commerce. We would love to have some new members so come join us if you can. Our next meeting will be on Jan 20.

Cotton Strippers

December Meeting: The Strippers met on a cold rainy night in December for their Christmas party. Lots and lots of good food arrived and after digging in secret pals were revealed. You can sign up for next year by getting the form from Jane. The deadline will be the January meeting. Sue is now taking money for March retreat. Sign up quick as it fills up fast! Most of the strippers wore their hats. For the few stragglers they received a special prize. Those wearing their hats were eligible for prizes straight from Jane’s sewing room. The members each brought a pretty fat quarter and an ugly fat quarter. We played "Chinese Christmas" where you steal each others fabric. It was a huge success however, if anyone wants my ugly green they are welcome to it. Jane read a Christmas story and we passed the pretty fat quarter to the right and to the left and it was just a struggle to keep up but each person ended up with a different pretty fabric than the one they started with. It was great fun and Sue could almost tell her right from left by the time we were finished. We look forward to doing this again! The food sign up sheet was passed around and everyone should be on the list twice for refreshments.

January Meeting: The Strippers met in January just as a cold front blew in. We had a wonderful Taco Soup Dinner hosted by the Stoney Hollow Gang which included Pebble, Shirley, Kay, Mary Lou, Pam, Sue and Maejean. Announcements: Only 3 people signed up for secret pals this year. A suggestion was made that those wanting to participate would collect items for the next 6 months, place them in a box (possibly decorated) and at the July (retreat) or August meeting we would draw names for the boxes. The dollar amount to be spent should not be over $30 (average $5 per month). Sounds like fun! Sue gave out the pattern for the row quilt and several new people signed up. Roberta has a new grandson. Huey has been very ill with bleeding in his eyes and he is in our thoughts and prayers. Give him a call or send a card if you can. The February Meeting will be at the home of Paula Talley; maps were distributed. The February refreshment girls will coordinate with Paula regarding the food. If you need directions call Jane or Paula.

Sunbonnet Sues

There was no meeting of the Sunbonnet Sue Group in January. The February meeting will be February 6 at the home of Pebble Rehm for our annual retreat to Seis Lagos. The March meeting will not be held due to March Retreat.
