Letter from the President

Dear Quilters,

Welcome to another year of opportunity! For many of us, that translates

to “resolution”. More power to you. I quit making resolutions years ago

because I never followed through on any of them.

I prefer, instead, to approach the coming year with expectation and

anticipation. Expecting to maintain continued good health and

prosperity, and anticipating making new quilting friends as the guild

continues to grow. My expectations also include finishing some of those

pesky UFO’s in the closet, but realistically, I'm not going to agonize

over it.

The opportunities for our guild are exciting! The area of community

service is limitless, and our visibility will broaden, as we

participate in the Texas Association of Quilt Guilds. Most exciting is

the prospect of working with such an outstanding board and committees.

It just gets better and better every year, thanks entirely to YOU. My

sincere thanks to each of you!

Piecefully,

Katharine

all his friend by the end of his program!

February 11. Someone will be calling with menu and schedule

information.

The February 12th meeting will be held at the church. Refreshments to

be provided by: Mary Welch, Maejean Nixson, Sara Bobbitt, Maxine

The audit committee of the Cotton Patch Quilt Guild met on December 18,

2003 to review the books of the guild. All entries were found to be in order and

the balance in agreement with supporting documents. As of this date, the

balance in the checking account was: $2,889.45 less $1,247.00 for the

Salvation Army quilt leaving a balance of $1,642.45.

Certificate of deposit, #56202211, at Cypress Bank, Commerce, Texas,

original amount of $1,800.00. Balance on 12/31/03 was $1,872.99.

Total monetary assets of the guild are $3,515.44.

Members of the committee: Katharine McCaw, Mary Lambert Smith, Jane

Asberry, Norlyn Quinn

Newsletter Notes

Please be sure to mark on your membership renewal whether you want the

monthly newsletter via regular mail or internet (e-mail). I believe

this year went well with nearly 2/3 of the membership receiving the

newsletter via e-mail. This saved the guild a lot of postage! Thanks to

everyone for their patience while getting the e-mail going.

Executive Board Meeting Minutes

The Cotton Patch Quilt Guild Joint Executive Board met at the Cracker

Barrel Restaurant, Greenville, TX on January 12, 2004. Board members present were

Linda Franklin, Pam Hodapp, Katharine McCaw, Carolyn Burt, Mary Smith,

Tracy

Greenlee, Barbara Ratcliff, Pebble Rehm, Kay Colcleasure and Sue Childers.

Addressing By-laws’ inconsistencies was the first item of business

presented by President McCaw. The board agreed to add the Audit Committee as an ad

hoc committee under Article VII as section (8:09) thereby making the previous

(8:09) now (8:10). Justification of this agreement was to include all ad

hoc committees that operate annually. McCaw noted that the By-laws on the guild

website need to be updated.

President McCaw emphasized that each officer and committee chair is

responsible for maintaining his/her budget/financial records. “This

pertains especially to any area where collections are taken. Each chair

should count the money and make a record of it before turning over to

the treasurer,” stated McCaw.

Fund raisers for 2004 were considered. One consideration discussed was

the possibility of the guild sponsoring a quilt show in September or

October, 2005 in lieu of a raffle quilt. This proposal will be

generally presented at the January, 2004 guild meeting with detailed

guidelines and discussion to be held at the February, 2004 meeting.

The status of the damaged Butterfly quilt is still in limbo, however

Rehm has taken responsibility to find the procedure to contact the

Sullivan Company (manufacturer of the basting spray used.) For future

consideration, an Endowment Fund was suggested to be established in

order to underwrite grants, projects, etc. and provide a depository for

memorials and honoraria with the idea of one money making project per

year allocated to increasing the endowment funds.

The 2004 budget was presented by Smith and board adopted the budget as

presented pending approval by the guild members at the January meeting.

Other items brought before the board by President McCaw included the

return/exchange of the lapel microphone, the direction to the library

chair to pass the hat every two to three months, and to send a copy of

the newsletter to each first time visitor to a guild meeting. The board

was provided a review of he programs for 2004 by Rehm. She also took

suggestions for workshops in 2004.

Executive board meetings in 2004 are to be held April 13, July 12 and

October 18. President McCaw adjourned the meeting at 8:30 p.m.

Carolyn Burt, Secretary

Just a few minutes…

The Cotton Patch Quilt Guild met at Kavanaugh United Methodist Church,

Greenville, TX on December 18, 2003.

President Katharine McCaw opened the meeting at 7:00 p.m. and welcomed

guests Ollie and Jean Kirby. McCaw thanked the hostesses for the social

at 6:30 and the guild for FISH donations.

Officer and committee chairmen reports were taken from treasurer, Mary

Lambert-Smith reporting a balance of $1,642.45 as of December 18;

Pebble Rehm who explained the “make and take” placemat projects being

made during the meeting and she encouraged members to mark the 2004

program survey; Sue Childers reported nine new books for the library;

Gwen Schroth announced that the address was available to order quilts

from India; and Pam Hodapp announced that photos would be taken at the

January meeting for inclusion in the 2004 directory of those members

who had paid dues by that deadline. Hodapp announced and welcomed

Monica Denney as a new member.

Sherry Worley’s door prize bonanza included 24 door prizes during the

meeting. Worley announced that more than 40 baby quilts had been

donated to various charities for needy children and that 200+ Christmas

stockings had been made and donated. Worley and her committee presented

Mr. & Mrs. Kirby, representatives of the Salvation Army a check for

$1,247 earned from the guild-sponsored raffle of the Stocking Quilt.

Sue Miller’s name was drawn as the winner of the quilt.

Jane Martyn reported that the Cotton Strippers would meet at Kavanaugh

parking lot at 5:00 p.m. on January 8, and convoy to the Plano Guild

meeting, and that the February meeting would feature the Blooming Nine

Patch challenge.

In the business portion of the meeting a special vote to waive a

by-laws restriction (Art. VI - 6.05) was taken and passed.

Alice Cooney showed the gift items made by members that were brought

for Show and Tell. The Sunshine and Shadows committee expressed

concerns for Mary Lou Strohm in regard to the death of her mother.

President McCaw closed the meeting after the sharing of gifts at the

Christmas tree.
